ReplyTala sample: Paper Fern stationery shop
Fictional demonstration. Paper Fern is an invented online stationery shop. Every product fact and policy in this sample is fictional and exists only to show the format. No real customers, orders, testimonials, or sales are represented. These policies are not legal guidance and must not be copied into a real shop without the shop owner's approval and applicable checks.
This sample contains six FAQs and six customer replies. The proposed full ReplyTala kit contains 12 FAQs, 15 replies, and a usage guide.
Fictional source register
In a real kit, these entries would point to information supplied and approved by the shop owner. Here, the source of every entry is the fictional demonstration brief.

Six FAQs
1. What size is the dotted notebook?
Our dotted notebook is A5, with 80 pages of 100 gsm paper. If you need to check compatibility with a particular pen, please ask before ordering so we can confirm what we know.

2. When will my order be sent?
In-stock orders are normally dispatched within two business days after order confirmation. This is an estimate for dispatch; delivery time depends on the option you select at checkout. We send a tracking link when the order is dispatched.

3. My order is later than expected. What should I do?
Check the tracking link in your dispatch message, then use our private support form if you need help. Include your order reference there so we can check the status. Please keep order and contact details out of public comments.

4. Can I request a return?
For a change of mind, contact us within 14 days after delivery. Items should be unused and in their original packaging. We will confirm return instructions and any applicable postage cost before you send anything back. If an item is faulty or damaged, explain the problem so it can be reviewed separately.

5. An item is missing or incorrect. How can I get help?
Use our private support form and tell us which item is affected. Add your order reference in the form so we can check the order and confirm a solution. Please do not post order or contact details publicly.

6. Can you add a name or custom text to a notebook?
We do not currently offer personalization. Our available products are notebooks, pens, and paper planners in the versions shown in the shop.

Six customer replies
1. Pre-sale product question
Use when: a shopper asks about the dotted notebook and whether it works with a fountain pen.
“The notebook is A5, with 80 pages of 100 gsm paper. Those are the confirmed specifications; we do not have verified fountain-pen performance information to share.”
Before sending: check that this is the right product. If no compatibility information is available, say so; do not promise performance based only on paper weight. Source: F2.
2. Delayed order
Use when: an order has not arrived as expected and its status needs investigation.
“I’m sorry your order hasn’t arrived. Please check the tracking link in your dispatch message. If you still need help, send your order reference through our private support form so we can check its status. Please keep order details out of public comments.”
Before sending: if the existing support conversation already identifies the order, do not ask again. Add an update time only after the owner has confirmed it. Do not promise a delivery date or blame the courier without evidence. Sources: F3–F4 and F8.
3. Change-of-mind return
Use when: a shopper has said they changed their mind about an unused notebook.
“For a change-of-mind return, please contact us within 14 days of delivery. The notebook needs to be unused and in its original packaging. Use our private support form to request a return; please wait for the return instructions and any postage costs to be confirmed before sending it back.”
Before sending: use the actual approved shop policy. Do not apply a change-of-mind restriction automatically to a faulty or damaged item. Do not ask for payment details. Sources: F5, F7–F8.
4. Missing item
Use when: a shopper says their notebook arrived but their pen is missing, and the order has not yet been identified.
“I’m sorry the pen was missing from your parcel. Please use our private support form to share your order reference so we can check the order and confirm how to put this right.”
Before sending: if the item and order are already known, acknowledge those details privately instead of asking again. Do not promise a replacement or refund before the owner confirms the remedy. Sources: F6 and F8.
5. Incorrect item
Use when: a shopper reports receiving a different item from the one ordered.
“I’m sorry you received the wrong item. Please use our private support form to tell us what arrived and share your order reference. We’ll compare it with the order before confirming a solution.”
Before sending: remove any request for details the customer already provided. Do not request a photo containing a shipping label or unrelated personal information. Ask for an item-only photo only if it is needed to resolve the issue. Sources: F6 and F8.
6. Personalization request
Use when: a shopper wants custom text or a name added to a product.
“Thanks for asking. We do not currently offer personalization. You can choose from the notebooks, pens, and paper planners shown in our shop.”
Before sending: do not suggest a custom service or availability that the shop has not approved. Source: F1.
Usage guide
- Replace every fictional fact with the shop's approved information. Add the real support-form link and check it before publishing.
- Match the reply to the actual question. Remove requests for information the shopper has already supplied.
- Use public comments only to acknowledge a concern and direct the shopper to the private support channel. Keep order references and personal details private.
- Have the owner approve remedies, exceptions, disputed charges, and any time-sensitive commitments.
- Record the version and approval date. If a policy or product fact changes, update every answer that cites it.
Sample status: structurally complete as a fictional demonstration. Not ready to publish as a real shop's FAQ. No real contact link is included.
Editing note: dispatch is not arrival
Customer question: “Will my notebook arrive within two business days?”
Invented rough draft: “Yes, your order will arrive within two business days.”
Edited reply: “In-stock orders are normally sent within two business days of confirmation. Delivery takes additional time and depends on the option you choose at checkout. We’ll send your tracking link when your order is dispatched.”
Why: The rough draft turns a dispatch estimate into a delivery promise. F3 supports the two-business-day dispatch estimate for in-stock goods; F4 supports the tracking message. Neither supports an arrival date.
Before sending: Confirm the item is in stock. Do not add an arrival date without confirmed delivery information. This is an additional editing example, not a real customer conversation.
